By booking a stay, retreat, or training with Atitlan Eco Retreat (AER), you agree to these terms on behalf of yourself and anyone named on your booking. These terms are the full agreement for your booking. Questions: hello@atitlanecoretreat.com
Booking
- A booking is confirmed only after AER sends a confirmation email and your deposit (or full payment) is received.
- Deposit + completed registration form are required to hold your spot. Balance is due 45 days before the start date. Within 45 days, full payment is required to book.
- If the balance is not paid by the due date, AER may cancel the booking and keep the deposit.
- Prices are per person in USD. A 7.5% service fee may be added to retreat bookings. Currency-conversion or bank fees are your responsibility.
- AER may change listed travel add-ons (e.g. shuttles); you will see the current price before confirmation.
- Retreats and trainings may need a minimum number of participants to run (typically six). Wait for AER’s trip-confirmation email before buying non-refundable travel.
Cancellation and changes
You cancel
- Cancellations must be emailed and acknowledged by AER.
- Deposits are non-refundable.
- More than 45 days before start: you may request a partial refund (deposit and processing fees withheld). Any partial refund is at AER’s discretion.
- 45 days or less before start: all payments are non-refundable (including stays, activities, Spanish classes, etc.).
- With 60+ days’ notice, deposits may be transferred to another AER program within one calendar year (AER’s discretion). With less than 60 days’ notice, a program change may be allowed with AER approval and a $180/person change fee.
- Extra payments beyond the deposit may be rolled to another date within one calendar year at AER’s discretion.
- Force majeure / events outside either party’s control: credit-card charges are not reversed; credit toward a future stay or program may be offered.
AER cancels
- AER may cancel a program (including for low enrollment). AER will not cancel less than 30 days before the start date except for circumstances beyond its control (government action, force majeure, epidemic, natural disaster, or facility damage).
- If AER cancels, you may transfer to another program within one calendar year, or receive a full refund of amounts paid minus card-processing fees.
- AER is not responsible for your incidental costs (flights, visas, vaccinations, insurance, lost earnings, loss of enjoyment, etc.). If you choose a higher-value alternate program, you pay the difference.
Health, insurance, and documents
- Tell AER about pregnancy, disability, medications, or any condition that may affect participation. Be honest about fitness. If your health or fitness changes between booking and arrival, notify AER before the program starts.
- AER will do its best with dietary or other special requests, but cannot guarantee them. AER may decline unsuitable activities or participation.
- You must carry your own medical insurance. AER does not provide medical insurance. Travel insurance covering personal injury, emergency medical care, evacuation (including air ambulance / repatriation), and trip cancellation is strongly recommended.
- You are responsible for a valid passport (6+ months beyond return), visas, vaccinations, and any required certificates. Any travel advice from AER (visas, climate, packing, etc.) is a courtesy only; you remain responsible for your documents and arrangements.
Safety and conduct
- Follow AER staff and local guide instructions. You are responsible for your own safety.
- Sign AER’s liability waiver before participating.
- AER may remove a guest with no refund if their behavior threatens safety, wildlife, or others’ enjoyment.
Itinerary, suppliers, and media
- Programs and itineraries may change for weather, safety, or circumstances beyond AER’s control.
- Shuttles, tours, classes, and similar services may be run by independent suppliers. Their terms apply; AER is not liable for those suppliers.
- Photos and video may be taken during your stay and used by AER for promotion (website, social, etc.) unless you ask otherwise in writing.
Privacy and liability
- AER uses your booking details (including health/diet needs) to run the program and may share what’s needed with guides or suppliers involved in your stay.
- AER is not liable for issues caused by you, by third parties outside AER’s control, or by force majeure (including government action, pandemic, or extreme weather).
- These terms are the entire agreement and bind you and AER and your respective heirs, successors, and assigns. AER may update them; the version on atitlanecoretreat.com applies. Changes to a booking require written mutual consent.
